Frequently Aked Questions about Student Accounts

How do I make a payment?
You can make a payment either by cash, check, money order or credit card, by mail, in person or over the phone.  We accept VISA, Mastercard, Discover and American Express.  Students can also make web payments using MAPLE.

When is my payment due?
Accounts not covered by financial aid or AMS contracts are due August 15th for the Fall semester and January 15th for the Spring semester. Any additional charges are due upon receipt of your monthly statement.

Where can I pay my bill?
The Student Services Center is located on the first floor of Woodruff Hall.  If paying by credit card call 802-468-6070 for a Student Services Consultant, or go on-line and pay through MAPLE.

What happens if my payment is late or my account is delinquent?
Delinquent accounts will incur late charges, prevent registration, hold transcripts from being released and be subject to collection processing.

Where do bills get mailed?
All statements get mailed to the student’s permanent HOME address. Bills are also available at the Student Services Center at the student’s request.

Where can I obtain my account balance?
You can find your account balance by accessing MAPLE or by calling the Student Services Center at 802-468-6070.

I did not receive a bill. Do I have to pay the late charge fees?
Yes, failure to receive a bill is not a valid reason to avoid late charges or payment on the account. It is the student’s responsibility to notify the Student Services Center of address corrections and to be aware of the billing due dates. Statements are available on-line with real-time information.

How is my financial aid applied to my charges?
Your financial aid for the school year will be applied directly to your student account by our financial aid office, provided all paperwork is complete.

When do Financial Aid refunds become available?
Financial Aid begins posting to student accounts after the 2 week add/drop period at the start of each semester.  Students must have all their financial aid paperwork completed in order for aid to transmit to their accounts.

My financial aid is not showing on my account. What should I do?
Call the Student Services Center at 802-468-6070 or email one of the consultants. There may be outstanding paperwork or verification may be incomplete on your account.

Where do I pick up my refund?
Refunds are available on Tuesdays and Fridays after 1:00pm, and can be picked up in the Student Services Center.  Students must show a picture ID.

What is my student ID number?
All students are assigned a student ID number upon enrollment. It is printed on all student photo ID cards.  Students should learn this number and use it to access their accounts. It is also printed on bills as “account holder” number.

What happens when I drop a class?
When you make any changes to your schedule, either in hours or withdrawing from the college, be sure to reference the Castleton Catalog for dates and charges that may be assessed to you. 

Will I be refunded money if I withdraw from the college?
In the event of withdrawal, leave of absence, dismissal, resignation, or the dropping of classes in a manner that affects student charges, any refund will be calculated on a daily pro-rata basis using the same schedule utilized to determine the amount of federal Title IV refunds. Refunds are based on the charges assessed at the time of withdrawal and the amount of the payments received to that date. If the payment amount is greater than the charges, you will be sent a refund. Reference your Castleton catalog for additional refund criteria.

How do I pay for my textbooks?
Textbooks are purchased in the Campus Bookstore. Textbooks can be paid for at the time of purchase or students may charge up to $700.00 on their student account during the first two weeks of each semester.

I have a charge on my account for student health insurance, but I already have medical insurance. What should I do?
Every student must sign and return an insurance selection card indicating whether or not they need the college health insurance plan. Students that provide insurance coverage information will then have the charge removed from their account.  Students who do not return a selection card by the deadline will have the charge remain on their account and will be enrolled in the school health insurance plan.
