Tips for Better Mail Service

 

Notify Mail Room of all personnel/title changes.

 

Separate and bundle outgoing mail, intra-campus mail, and personal stamped mail.

 

Outgoing (U.S.) mail must reach mail room by 2:30 P.M. in order to insure same day processing. Large quantities may be delayed.

 

Stamped mail should be sealed.

 

Keep your mailing lists/labels updated.

     

 

 

Please bundle & label all outgoing mail with correct code name & number.

 

Always use correct zip code or postal code.

 

Alert Mail Room staff to expect "important" mail.

 

Spell out name of foreign countries. Bundle foreign mail separately.

 

Use Third Class - Bulk mail whenever possible.

 

Complete certified and return-receipt slips.

 

Fold envelope flap down for sealing.

     

 

 

Use blue envelopes.

 

Use name and department of addressee. Please use full name, not initials.

 

Include campus box number on mail addressed to students.

 

If you are sending something to a person/department located in the same building, use mail boxes located in that building, or deliver to appropriate office.

 

Please use full name on routing slip or put in envelope. Student mail in box order.

     

 

 

Let the Mail Room know when you will be mailing a large quantity of pieces.

 

Mail Room can provide you with instructions for large mailings.

 

Make sure all pieces are addressed (labeled).

  Please send student mail in numerical box order rather than alphabetical order.
 

Undeliverable pieces are returned to the office which mailed them.
Please keep your mailing list up to date.
